SC Consolidated Payment Process

The Consolidated Payments Workbench enables your finance team to process Accounts Payable (AP) and Subcontract Ledger (SC) payment runs across multiple companies from a single, centralised screen. Rather than logging into each company separately, authorised users can select invoices or subcontract certificates, generate EFT files, send remittances, and post payment batches for all companies in a defined group in one streamlined workflow. For construction businesses operating across multiple legal entities — whether subsidiaries, joint ventures, or regional divisions — managing supplier and subcontractor payments at group level has historically required significant manual effort. The workbench addresses this by allowing a central finance user to define a Company Group and run the full payment cycle across all included companies simultaneously, with consistent controls applied at every stage. The workbench is accessed from the Coins Central Repository and is available to users who have been granted the appropriate function permissions. It operates across both the Accounts Payable and Subcontract Ledger modules, with each ledger following the same structured workflow: payment selection, manual adjustment, batch review, freezing, EFT file creation, remittance advice, and posting. At each key stage, a validation step must be completed before progressing, providing a clear control framework throughout the process. On posting, the system generates General Ledger, Cash Book, and ledger-specific reports in the background for each company in the group, ensuring a complete audit trail without additional manual steps. EFT output files are created per company using a configurable naming convention, and remittance advice can be distributed via email. Access to the workbench is controlled at the user level via Coins function permissions, and individual payment selection can be reviewed and adjusted per company before batches are frozen. This gives finance teams the flexibility to manage exceptions (such as accounts on hold, unverified subcontractors, or expired insurance) without disrupting the wider group payment run.
ESG Recording in AP/SC

Subcontract Certificate Definition

Invoice Type Column in Invoice Matching

Colored Desktops and Icon Improvements

Icons have been improved for colorblind accessibility - red/amber/green icons now have status badges, and paperclip and notes icons now have dot indicators for unread items. The Undo button now includes a confirmation prompt to prevent accidental misclicks. The Activity Workbench number has been added back to the header bar to indicate the number of unread items.
Unread Reports Indicator

The number of unread reports has been added back to the reports icon, replacing the dot indicator. This makes it easier for users to see at a glance how many reports are awaiting their attention.
Coins ERP+ Intercom Integration

Intercom has now been fully integrated into Coins ERP+ as a digital assistant, providing a direct channel to raise support issues. The digital assistant icon is placed to the left of the reports icon in the header, and links on the landing page and side-frame help have been rerouted to the new Intercom-based help center. The cookie policy has also been updated to cover Intercom. A new function, %WSYINTERCOM, has been added to allow the disabling of Intercom for certain users or groups.
Wootric Integration

Extracts Integration Improvements

Multiple enhancements have been made to the data extracts framework.
A warning is now given if Extract Data finishes with any of the extracts left on hold. An "Email on Error/Warning" checkbox has been added to the output options, enabling email notifications whenever the extract finishes with a warning or error.
An "Extract on hold" column to has been added to the "Entity Maintenance" and "Extract Maintenance" browse screens.
The "Last Data Lake Extract" date and time is now stamped when starting the initial extract, not when finishing.
A "Reconcile SQL Record Count" checkbox has been added to the Extract Data main tab. If checked, the extracted records will be recounted on the SQL side, with a warning issued if there are any discrepancies.
Two new SY parameters have been added to further control the detailed logging for extracts: SY/EXLOGEX to set level 3 logging for specific extracts and SY/EXLOGCDC to set level 3 logging for specific CDC triggers.
It is now possible to extract data for specific fiscal periods, with each extract landing in a separate period-specific folder in data lake.
Deleting a workspace now gives an error if datasets and reports have already published to the workspace, and a warning if the workspace is empty.
The REST option is no longer visible on the "Set Extract" function for customers without a REST license.
A Save button has been added to the SQL editor, to enable saving written queries in Coins ERP+.
The Extract Agent now continues pushing records to the SQL database even when the MS Fabric is paused.

A comma-separated list of pay calcs can now be configured for 'Pay Calc to use for Maximums', with prioritized logic to determine the applicable annual maximum for 401k and Roth catch-up contributions for high earners.

Qualified Overtime Compensation Report

A new Federal Overtime Tax Exemption Report has been introduced in response to the One Big Beautiful Bill (OBBB) federal legislation. The report calculates the 50% overtime premium for hours worked over 40 per work week and is available from the 2025 tax year. Report types include Summary, Detail, and Detail with Subtotals per employee.

Improvements have been made to the CC call review process: Basic call details can now be updated from the To Review tab. If the Call Manager is changed, the same person will automatically be assigned as the Issue Manager for all issues associated with the call. Hyperlinks have been added to the Open Issues column in the To Review tab. Users can click these links to open a browse of the open issues related to each call. Issue details can be updated from this new browse. Calls can now be marked as reviewed from the call summary via a new 'Mark as Reviewed' button on the command bar. A new HB CRM parameter CCREVCHK has been added. When set to Y, this enables validation to check that all call and issue fields have been completed with valid values before a call can be marked as reviewed.

The 'Lot Analysis' option is only available if at least one lot analysis set has been configured, and the new fields are only applicable if the source of the sales list is 'Lot Sales' or 'Provisional Reservation'. ESB process HSPESB006 (which controls the evaluation of which purchasers/lots are assigned to a specific sales marketing list) has been updated to include the checking of any lot analysis set rules, so that only lots with matching analysis set values are included in the sales list. Sales Forecast - Update with Actuals across Multiple Developments

Spotler Connect Integration Improvements

The campaign date range fields have been removed when creating a new campaign via Spotler Connect, as they are not required. Lot Choice Selection Alerts

In Copilot, a new REST service has been added to the HB CRM plugin to look at reserved and exchanged lots for a specified site and check each specification area for the earliest cut-off date. A lot will be identified as being at 'choices selection stage' if any of the areas have a cut-off date within the number of days range specified by the user. A new 'CHSCOMP' event type has been added to the Sales Workbench, allowing users to flag that all choices have been entered for a lot. Once this event has been run, the lot will be excluded from Copilot queries and notifications. A new background report has been created to allow for notifications of lots at 'choices selection stage'. If users require notifications about this, the report will need to be scheduled to run each morning to check for lots with choices due within a date range set in the new CHONOTDY parameter.
HB CRM Webservices - 'Level of Interest' Field

Multiple Complaint Stage Paths

It is now possible to configure multiple different sets of complaint stages for a company. This enables separate complaint workflows for compliance with separate regulatory requirements - for example, one path for NHQB complaints and one path for Awaab's Law damp and mould cases.
When opening the Complaint Stages function, the user is now presented with a new 'Complaint Stages Paths' browse, allowing them to define multiple sets of complaint stages.
When adding a new complaint-based call, the set of complaint stages to be created will be based on the associated 'Complaint Stages Path'.
A new drop-down selector has been added to the Complaints Kanban to allow users to select the 'Complaint Path'. The Kanban columns are based on the selected path, and only calls relating to the selected path are shown.
Each complaint path now has its own section on the Customer Care desktop (with up to three complaint paths shown at one time), with the tiles in each section dependent on the associated complaint path.
Call type selection has been added to the selection criteria for the Initialize Complaint Stages function, as this can now update multiple call types.
Managing Choices at Group Level

LA Cashflow - Distribute by Selecting Multiple Items

This update allows for fewer overrides at the PO header level by eliminating the need to remember to change the tax code in the header where the tax code on a Job may not be the desired tax code of the PO or invoice, and provides a more consistent user experience.

A new Company Groups field has been added to the Details tab on the User Workbench. This field can be populated with a company group or list of groups, which will then auto-populate the Companies field immediately in the UI. Company groups are configured in Company Group Maintenance, and the Sync User Companies with Company Groups report can be run to update the company list for every user assigned to a company group after that group has been updated. Activity Workbench Access

Previously, when multiple users required access to each others' Activity Workbench, administrators were required to manually maintain workbench access for each user individually - entering user IDs as comma-separated strings every time someone joined, moved, or left the team. This manual process was time-consuming, error-prone, and created compliance risk through inappropriate access provisioning.
With this release, it is now possible to enter tags in the View/Update fields on the Activity Workbench User Details/Access Maintenance screens to grant access to the workbenches of all users belonging to that tag. Any changes made to the tag - whether adding or removing users - are automatically reflected across all assigned users, eliminating the need for individual updates. Multiple of these groups can be configured to support varying access requirements across different teams or roles. This enhancement significantly reduces administrative overhead, accelerates onboarding, and ensures access remains accurate and aligned with the organisation's control framework.
