Forecast Line Aggregation

Overview

For contractors working with large Schedules of Values (SOVs) with resources under SOV items, particularly in civil construction, the Forecast Cost to Complete (FCTC) breakdown can become overwhelmingly detailed with hundreds or thousands of individual resource lines. The forecast line aggregation feature provides the ability to summarize multiple resource lines for the same cost code into fewer, more manageable entries, while detailed history remains accessible through drill-down lookups.

Aggregation is most beneficial for:

  • Large civil construction projects with extensive SOVs using Full Job Contract Manager setup

  • Full Job Contract Manager Jobs with many change requests - multiple changes over the life of the project

Configuration

  1. Enable the parameter.

    1. Navigate to System Parameters.

    2. Locate parameter CV/BRKGROUP.

      This parameter controls whether the aggregation option is available in your forecast model definitions.

    3. Set the parameter to Yes.

  2. Configure your forecast model.

    1. Go to your Forecast Model Definition.

    2. Open the forecast item that uses Breakdown in Job Contract Manager.

    3. You'll now see a Summarize option with the following attributes available:

      • Section

      • Activity

      • Valid status

      • Cost type/Cost head

      • Category (Cash Out, Cash In, etc.)

      • Job analysis sets

      • Job location

      • Job group

      • Job type

    4. Select the attributes by which you want to summarize.

      Consider summarizing by:

      • Cost Type/Cost Head - Groups similar cost categories

      • Category - Separates cash flow from cost tracking

      • Job Analysis Sets - Maintains reporting structure

      • Section/Activity - Keeps work breakdown structure visible

      The key is selecting attributes that match how your team analyzes and reports on forecasts.

    5. Save your model definition.

Generating an Aggregated Forecast

  1. Open your forecast.

  2. Select Update/Generate to refresh the forecast.

  3. Coins ERP+ will now aggregate breakdown lines according to your configuration.

Viewing the Aggregated Breakdown

  1. Navigate to the Cost to Complete section.

  2. Click into a cost code to view its breakdown.

  3. Instead of seeing hundreds of individual change request lines, you'll see summarized totals based on your selected attributes.

Accessing Detailed History

You can still access the detailed variation history with aggregation enabled.

  1. From the aggregated breakdown view, locate the resource or item you want to investigate.

  2. Select the lookup/drill-down option.

  3. View all individual change requests, amendments, and changes for that specific item.

  4. See the complete history including:

    • Original budget amounts.

    • Each change request reference.

    • Dates and values of changes.

    • Current totals.
