Convert to Manual Checks for Selected Employee allows you to covert Manual Check Calculator (MCC) Checks to Manual Checks assigned to the current open payroll period. Verify that there is an open Regular or Adjusting Period.

This function can be run regardless of the employee status and does not change the employee status. An employee must be in Start status if there are existing timesheets in the batch to which the timesheet is being transferred.

  1. On the Timesheet Input tab, Select the employees to be calculated by clicking the box to the left of their name. On the action bar, use the drop-down arrow and choose Edit Report.

  2. Click the Apply Action arrow.

  3. This will open the Main/Output Options screen. Enter the open Period in which the manual check will be added to.

    • It is possible to Terminate the Employee during this step as well by clicking the checkbox (available on Version 11.07 and above) and selecting a reason for terminating the employee from the drop down that appears.

Figure 2: Layoff an Employee (Optional)

    • A warning message will appear that the employee will be terminated.

    Figure 3: Confirm Layoff (Optional)

    • View the report by clicking the printer icon in the top right of the screen. It will display a message that the employee is now terminated.

  4. Once this process is complete, the timecard will appear in the Period you converted to and you will process that payroll as usual. This will include the check information/calculations in all of the reports, but it will NOT produce another check.

  5. Additionally, when under the employees file and enter the Payroll History there will be only one check, and the check type will be Manual.

  6. If the check was written in the field it may have a different number, therefore the functionality is available to edit the check number. Open the appropriate record by highlighting the employee row and clicking on the folder. Next, change the check number to the field check that was written and choose the save button.
