Input Timesheets for Employees

Once a Period has been opened (Open a Regular Period, For a Given Frequency), the next step is to Input Timesheets. This will be done for all employees and their timecards for each chosen frequency period.

  1. Inside of the selected Payroll Frequency, this item is located just below Period Maintenance on the tree; Payroll > [Payroll Frequency] > Input > Timesheets

  2. Click Add to pull employee names in for timesheet entry

  3. Enter employee's number (KNO) or use the ellipsis “…” to look up employee. Their Timesheet line information will default in. Verify the information and make necessary changes, if applicable.

  4. Click the SAVE Icon located on the line.

  5. This will automatically bring up the Timecards screen. Click Add to open the timecard data entry fields.

  6. Most things will default based on information previously entered and Period Maintenance. Use the tab button to scroll along and fill in the necessary fields.

    • v Check to see that the correct Earning Category is being used for the hours entered

    • v Under Analysis, using the ellipsis “…” to the right, to find the Job information to enter

    • v A look-up box will generate. Use the ARROW to select the job, section and activity needed to properly cost the time. Use these Arrows to move through the selections and add the appropriate job numbers. Use the Pointer/Hand to select the final category.

  7. Once the correct Job has been selected and the time has been recorded, use the Save button on the line to save each entry. Click the Next button in the bottom right, and repeat steps 3 - 5 for any other Employees.

  8. In the example below, an hourly Earnings Category was used for 40 hours to be billed to one job number at a rate of 15$ and hour. If the hours were being spread among several jobs, click Add for each one and enter as appropriate.

  9. This will have created the record(s) for each of the employee Timesheets for this open Period. Run reports to verify information entered is accurate. (Missing Timecard Report, Payroll Exception Report, for example)
