3.00 Set Up Job Security

The purpose of this how-to document is to show a user how to setup Job Security for a user or users and customize specifications. Job Security determines what jobs a user can access.

  • Go to Job Status > Setup > Setup Maintenance > Security > Job Security (Figure 1).

  • Click the Open folder in the row of the user to update their security (Figure 1).

  • For the Security List field, type in the access for the user (Figure 2). The Security List is a list of PMs’ User IDs whose jobs each user can access.

  • For most project managers, they will just need their own User ID (“marulr” for this example) in the Security List field, so they have access only to jobs where they are the PM.

  • If “marulr,matpot” is entered, this setup will give Marshall Ulrich (User ID: marulr) access to any jobs where either he is the PM or Matt Potts (User ID: matpot) is the PM (Figure 2).If “*” is entered, this setup will give the user access to all jobs.

4. The Code field on the same page is a list of job number(s) that this user can access (Figure 3).

  • Wildcards can be left in this list, so “02*” would give a user access to every job where the job number starts with 02.

  • Any user who is setting up jobs should have access to the appropriate template job(s), so they can use that job as their job template.

  • 02, 03, and 04 (typed in as: 02*, 03*, 04*) would also be a valid setup to give a user access to all jobs that start with those numbers.

5. Click the floppy disk icon to Save the changes (Figure 4).

6. To apply Security List or Code changes to multiple users at once, start with checking any row (it doesn’t matter what row is selected), make sure Copy Job Security is selected from the drop-down box at the bottom of the screen (it should be the only option), then click the arrow to Apply Action (Figure 5).

7. At the next screen, enter in the Security List and/or Code to be applied, and enter in the users to apply it to in the To field (with User IDs separated by commas, and no spaces in between) (Figure 6).

8. Click Next in the bottom right corner of the screen to save (Figure 6).

9. Back at the Job Security screen, the changes made should be shown (Figure 7).

Note: The Job Status parameter COSECDEF controls whether a missing record in Job Security means 'None' or 'All'. If parameter COSECDEF is set to Y, it means that blank means access to no jobs. If parameter COSECDEF is set to N, it means that blank means access to all jobs. The following document assumes COSECDEF is set to Y.
