How To Generate Agreement Renewals

Every 12 months it is recommended to renew agreements. Renew agreements by following the process below.

  1. From the tree menu, click Service Management > Agreements.

  1. The main agreements workbench will appear, which will display agreements and agreement end dates. There is an agreement renewal report in the service management module under reports which will also display this information.

  1. To renew agreements, from the tree menu, click Service Management > Renew Agreements > Select Agreements to Renew. Click the folder open button next to the agreement you wish to renew.

  1. The renewal can be updated in the next screen. If there is an increase in the cost of the agreement, or an increase/decrease in the cost budget or schedule of the renewal, change it here. A new start date and end date for the agreement will also appear in this screen.

  1. Under the areas to copy tab, the areas that will copy over from the new agreement will be listed. Every box is automatically checked, but you can make changes if necessary. Click the save button.

  1. The new renewal end date will appear under the agreement in the next screen.

  1. Process the agreement renewal by clicking Service Management > Renew Agreement > Process Agreement Renewals from the tree menu.

  1. Select the agreement renewal you wish to process, then select process agreement renewals in the apply action menu near the bottom of the screen.

  1. Select PROCESS in the next screen to complete the renewal.

  1. Navigate to the agreement from the agreement workbench and hyperlink into it to view the new renewal.
