Employee Self Service - Pay History

Employees may view their pay history in Employee Self Service. If you already store employee pay slips against the pay history, then employees will be able to download the pay slips directly from the portal. For employees who do not have access to a stored document or those who are paid by cheque, employees have the option to email themselves a reprinted stub.

If Pay Slips are attached to the employee pay history when generated, then the employee will have the ability to retrieve the documents from the ESS Portal when viewing Pay History.

On the Desktop version of ESS, click on Lookup to download the attachment.

The pay slip will open in the ESS Window. Users can save or print the document from here.

Email Reprinted Pay Slips

Employees can opt to email copies of pay slips to themselves. This is especially useful if the employee is paid by cheque or you are not attaching the pay slip in Coins ERP+ at run time.

Setup for Email of Reprinted Pay Slips is described below:

  1. In Document Designer, find the document %ESUSSLIP2.4, the document type is ESS Cheque/Pay slip. Tag the record and use the Choose Action at the bottom of the page called Update Document. This will bring you to another page where you will set the Live flag and select the companies that the pay slip will be used in. Do not store this document against any table.

  2. This is the standard version of ESS Pay Slip. If you have custom pay slips already, you will want to have this document customised by COINS to resemble your custom pay slips.

  3. Verify that the employees have valid email addresses in the Secure Document Email Information section on the Other tab of Employee Maintenance. If a password is not provided, the password will default to the last 4 digits of the employee’s National Insurance Number.

  4. Once setup is complete, the Email option will be available in both Employee Maintenance > Pay History and in Employee Self Service > Pay History.

    1. In Employee Maintenance, simply click on the Email icon and choose Email.
