Timesheet Input Groups - Timesheet Entry (Regular and Quick Adds)

This section describes how Timesheet Input Groups are used during Regular and Quick Add Timesheet Entry.

Regular Timesheet Entry

A Group field is found on the browse screen of Timesheets, as shown in Timesheet Input Screen. It is available for entry when in Add mode and can only be changed using the Merge function. The lookup lists the owner’s own group and subordinate groups.

  • Payroll checks can be under multiple groups at the same time, which means that a check record might be shown on the screen several times (one instance per each group). When this occurs, the Multiple Groups flag is set to let the user know this situation exists. Additional Filters are available at the bottom of the Timesheets browse screen that allows the user to filter on Timesheets in Multiple Groups, as shown in Group Filters.

  • Once a group is entered for a check, the group can no longer be updated on this screen. However, you can enter the same check under another group, which means a new check is not created, and a new group is added to the comma-separated Check TS Input Group List.

The time cards for an employee check may be under multiple Timesheet Input Groups during Timesheet Entry. Before Calculations are run, these time cards MUST reside in one Timesheet Input Group. The PR Check record has the Multiple Groups field, which is checked if the time cards for the check are in multiple groups.

The Group Body Details screen (shown above in Timesheet Input Screen) displays when you select the Detail button on a Timesheet Input record. Since groups cannot be entered for recurring checks, the Group field for those checks is disabled and remains blank. However, if Timesheet Input Groups are in use in the Company, non-recurring (Regular, Adjusting, and Future) checks cannot be entered without groups, and the Body Details section only contains group and owner information.

  • A check cannot be entered under a frozen group. Time cards and Overrides may not be entered, updated, or deleted under a frozen group.

  • Once you enter a check under a group not associated with the PR Period and Year, the group becomes associated with the PR Period and Year of that check.

  • If you delete all checks under a group, the Group PR Period and Year are zeroed out, and the group can be used for the same or another period.

  • During a Timesheet entry session, the group entered defaults to the next check, along with the Period.

  • Only checks under your own groups, subordinate groups, and blank groups (recurring checks) are available for you on this screen.

  • You can enter non-recurring checks under your own groups or under subordinate groups.

  • You can only delete recurring checks or checks under your own unfrozen groups that are not under multiple groups.

  • You can enter or update only recurring checks or checks under your own or subordinate unfrozen groups that are not under multiple groups.

  • When entering a non-recurring check, the group should exist for the PR Frequency, Period, and Year, the group should be unfrozen, and you should have permission to enter checks under the entered group.

  • If TS Input Groups are in use for the company, the following items appear on the screen:

  • Filters: All Groups/My Groups/All Non-Blank Groups/Blank Group/Multiple Groups/Frozen Groups/Unfrozen Groups (Group Filters)

Time Cards and Overrides Tabs

When you click the Employee link on the Timesheet Input screen, a Time Cards screen appears with the following two tabs: Time Cards (Time Cards Tab) and Overrides (Overrides Tab). These tabs can be used to enter time cards and/or overrides. Upon entry, a group is assigned to all time cards/overrides that are entered.

  • Check Groups and Current Group have been added to the top section of the Time Cards and Overrides tabs.

  • Timesheet Input Group has been added as a read-only field to the Time Card Details layout of the Body Detail section on the Time Cards tab.

  • Only time cards and overrides for the current group can be present or entered on the Time Cards and Overrides tabs.

  • You can enter or update checks under your own or subordinate unfrozen groups. The check under frozen groups cannot be entered or updated.

  • When you enter time cards/overrides for a non-recurring check: (1) the group should exist for the PR Frequency, Period, and Year; (2) the group should be unfrozen; and (3) you should have permission to enter checks/time cards/overrides under the current group.

Quick Add Timesheets

The Quick Add Timesheets functions (Timesheet – by Job, Timesheet – by Employee, and Timesheet – by Multiple Employee) allow for TS Input Groups.

  • A Group field that comes from either:

    • The second screen (if you use the green buttons labeled Add New Job Timesheets/Add New Employee Timesheets on the first screen); or

    • The record on the first screen (if you use the Job/Employee column hyperlink to enter the timesheets).

  • The time cards with this group. If you enter a new time card, it is automatically entered under this group.

  • A read-only Group field in the Columns Fields section. When you enter a new time card, it defaults to the Current Group from the header.

Timesheets are validated to see if they exist for the PR Frequency, Period, and Year. You must have permission to enter Timesheets under the group.
