Prevailing Wage - Prevailing Wage Schedules

A Prevailing Wage Schedules maintenance function is found in Payroll > Company Setup, as shown in Prevailing Wage Schedules. It allows you to create Prevailing Wage Schedules for Payroll Calculations. Each schedule contains its own PW Calculations and Rates.

  • The Schedule Code cannot be blank.

  • The Prevailing Wage Schedules are company specific.

  • The Schedule Code has a hyperlink that directs you to the Prevailing Wage Calculations screen, as discussed in the Prevailing Wage Calculations Screen section.

Prevailing Wage Calculations Screen

A Prevailing Wage Calculations maintenance function is reached by clicking the Schedule Code hyperlink on the Prevailing Wages Schedules screen (Prevailing Wage Schedules above). It appears as the first of two tabs, as shown in Prevailing Wage Calculations Screen, and allows you to set up calculations for Prevailing Wages.

Trade

This is the PW Trade code. These codes are set up in Payroll > Global Setup > Prevailing Wage Trades.

Calc No.

This is the number code of the calculation used for the Prevailing Wage. It has a hyperlink that directs you to the Prevailing Wage Calculations Summary screen, as described in Section Prevailing Wage Calculations Summary.

When a calculation has new calculation rates, effective after the original date, copy the original calculation number and update the Effective Date and rates. Do NOT create another calculation or it will use both calculations when processing payroll. It is recommended not to make the original calculation dormant. It will not be accessible if a timecard is entered for the prior effective period.

Effective Date

The date that the calculation is effective.

Description

A description of what the calculation is used for.

Fringe or Deduction

Whether this is a Fringe or a Deduction calculation. The options are: Fringe Included in Pay, Fringe Not Included in Pay, Deduction.

Group Code

The PW Group Code, which can be blank or one of a valid set of codes for the Prevailing Wage. These Group Codes are set up in Payroll > Global Setup > US Specifics > Calculation Groups.

Percent

The percentage of the calculation, if applicable.

Flat Amount

The flat amount for the calculation, if applicable.

Rate per Day

The rate per day if the calculation is not a flat amount or a percentage of the gross amount.

Amount per Regular Hour
Amount per Overtime Hour
Amount per Double Time Hour

The calculations as amounts per Regular, Overtime, and Double Time Hour.

Item

The Pay Item number, 1 - 999.

Dormant

Whether the calculation is dormant.

Prevailing Wage Calculations Summary

When you click the Calc No column hyperlink on the Prevailing Wage Calculations screen, a new Prevailing Wage Calculations Summary screen appears, as shown in Prevailing Wage Calculations Summary. It also appears if you use the Add, Copy, or Update buttons on this screen.

The Prevailing Wage Calculations Summary screen contains the following 3 tabs:

  • Main

  • Participation Rules

  • Taxable Details - This tab is not available when using Add or Copy for a PW Calculation.

Main Tab

The Main tab of the PR Prevailing Wage Calculations Summary screen is shown in Main Tab. It displays general information, rates, monthly calculation periods, amounts per hour, maximum amounts and hours, taxable information, and W-2 information.

General Info Fields

Description

A description of what the calculation is used for.

Fringe or Deduction

Whether this is a fringe or deduction calculation. The options are: Fringe Included in Pay, Fringe Not Included in Pay, Deduction.

Calculation Type

To classify the type of Prevailing Wage calculation, if needed.

Item

The Pay Item number, 1 - 999.

Group Code

The PW Group Code, which can be blank or one of a valid set of codes for the Prevailing Wage.

Dormant

Whether the calculation is dormant.

Monthly Calculation Periods Applicable Fields

There are six checkboxes in this layout. You can check any of these boxes to indicate whether a particular Cost Period (from 1 through 6) is applicable to this Prevailing Wage calculation.

Rates Fields

Percent

The percentage of the calculation, if applicable.

Percent Basis

The basis of the percentage rate. The options are: Item Current Amount, Gross by Worked Hours, Gross by Paid Hours, Gross by Regular Hours.

Percent Basis Item

The number of the item for the percent basis. This field is disabled if you selected any of these options for the Percent Basis field: Gross by Worked Hours, Gross by Paid Hours, Gross by Regular Hours.

Flat Amount

The flat amount for the calculation, if applicable.

Flat Amount Spread Basis

The spread basis for the flat amount. The options are: Total Gross and Regular Gross.

Rate per Day

The rate per day if the calculation is not a flat amount or a percentage of the gross amount.

Amount Per Hour Fields

Regular
Overtime
Double Time

The calculation as an amount per Regular hour, Overtime hour, and Double Time hour.

Offset with Item

The pay item where qualifying fringes are accumulated to reduce the minimum fringe calculation.

Offset with Gross

Whether the calculation should be offset with the time card's gross. Valid options are: (blank) - Not Applicable; W - Gross by Worked Hours; P - Gross by Paid Hours; R - Gross by Regular Hours.

Maximum Amount Fields

Per Period
Per Month
Per Year

The maximum amount to be allowed per pay period, per month, or per year for the Prevailing Wage calculation.

or Item Current Amount

The current amount of this item.

Maximum Hours Fields

Per Period

The maximum hours allowed per pay period for the Prevailing Wage calculation.

Period Maximum Basis

The basis for the maximum hours to be allowed per pay period. The options are: Worked Hours, Paid Hours, Regular Hours, Percent Basis.

Per Month

The maximum hours to be allowed per month for the Prevailing Wage calculation.

Month Maximum Basis

Select the basis for the maximum hours to be allowed per month. The options are: Worked Hours, Paid Hours, Regular Hours, Percent Basis.

Taxable Info Fields

Federal Taxable
FICA Taxable
FUTA Taxable

These fields are US specific. They show you whether the Federal, FICA, and FUTA deductions should be taxable.

W-2 Info Fields (for US only)

These fields only show for a US company.

Appear Separately on W-2

Whether the calculation should appear separately on the W-2 form.

W-2 Box

Select the appropriate box for W-2 reporting, if applicable. You can refer to the W-2 instructions provided by the IRS for more information.

W-2 Code

Select the code that represents a description of what is to appear separately in Box 12 of the W-2, if applicable.

Info layout (for Canada only)

For the Canadian region, the W-2 Info layout is replaced with a T4/RL-1 Info layout, as shown in T4/RL-1 Info Layout (Canada only).

Appear Separately on T4

Whether the earning/calculation should appear separately on the T4 Form.

T4 Box

The T4 Box that the earning/calculation corresponds to on the T4 form, if applicable.

Other Information Code

The Other Information Code that the earning/calculation corresponds to on the T4 Form, if applicable.

RPP/DPSP Registration Number

If the T4 Box is set to 20, the RPP/DPSP Registration Number must be entered.

Appear Separately on RL-1

Whether the earning/calculation should appear separately on the RL-1 Form.

RL-1 Box

The RL-1 Box that the earning/calculation corresponds to on the RL-1 Form, if applicable.

Code O Box

A valid Code O Box when the RL-1 Box is set to O.

Additional Information Code

The Additional Information Code that the earning/calculation corresponds to on the RL-1 Form, if applicable.

Participation Rules Tab

The Participation Rules tab of the PR Prevailing Wage Calculations Summary screen is shown in Participation Rules Tab. It contains the following can-do list fields for the calculation: valid Costing Companies, Earning Categories, Prevailing Wage Skills, Service Departments, Service Order Groups, and Service Order Types.

Taxable Details Tab

The Taxable Details tab of the PR Prevailing Wage Calculations Summary screen for the US only is shown in Taxable Details Tab (US only), and the screen for Canada only is shown in Taxable Details Tab (for Canada only). You can use this tab to set up taxable information for a Prevailing Wage calculation.

Tax Authority Type

The options for US Tax Authority Types are State and Locality.

Tax Authority Pattern

You can use wildcards: “*” to match any characters and “.” to match any single character. For the US, this field has a lookup for States or Localities (for Counties, Cities, or Schools) for the Tax Authority Type.

SUTA Taxable
DBL Taxable

Work Comp Taxable

Whether SUTA, DBL, and Work Comp are taxable for this tax authority.

CA Field Definitions (Selected Fields)

Tax Authority Type

The only option for Canadian Tax Authority Types is Province.

Tax Authority Pattern

You can use wildcards: “*” to match any characters and “.” to match any single character. For Canada, this field only has a lookup for Provinces.

CPP/QPP Taxable
PPIP/QPIP Taxable
EI Taxable

Whether CPP/QPP, PPIP/QPIP, and EI are taxable for this tax authority.

Prevailing Wage Rates

A Prevailing Wage Rates maintenance function is reached by clicking the Schedule Code hyperlink on the Prevailing Wages Schedules screen (Prevailing Wage Schedules). It appears as the second of two tabs, as shown in Prevailing Wage Rates

, and allows you to set up and maintain Prevailing Wage Rates for specific PW Trade/PW Skill Level combinations for applicable Earning Categories.

These rates are used on jobs for employees who have been associated with this Prevailing Wage Schedule.

Field Definitions (Selected Fields)

Trade

The PW Trade must be entered.

Prevailing Wage Trades are set up in Payroll > Global Setup > Prevailing Wage Trades (see the Prevailing Wage Trades section).

Skill Level Pattern

The PW Skill Level of the employee must be entered. This is used with a PW Schedule and PW Trade to determine Prevailing Wage rates/calculations.

Valid PW Skill Levels are set up in Payroll > Global Setup > Prevailing Wage Skill Levels (see Prevailing Wage Skill Level).

Effective Date

The date the PW Rate becomes effective.

Description

A description of the PW Rate for the Earning Category.

Dormant

Whether this PW Rate is dormant.
