Overview
The Check Date was previously stored on the End Date of the Payroll Period field of the Period record. Coins ERP+ has now been updated to store the Check Date on the Check Date field of the PR Check record.
This functionality is for the US and Canadian markets only.
PR Frequency Timesheet Input
A Check Date column is found on the Timesheet Input tab of Payroll > [PR Frequency] > Timesheets, as shown in Timesheet Input. This field is mandatory for Regular and Adjusting period types; it is disabled and blank for Future and Recurring period types.

For Regular and Adjusting period types, the process for the Check Date is as follows:
For Computer and Adjusting checks, the Check Date is set from the period’s Check Date, and the field is disabled for manual changes.
For the EFT Pay Method, the process remains the same throughout the payroll process.
For the Check Pay Method, the Check Date is set from the Print Checks function. The Check Date was previously entered when printing checks; the Print Checks process was updated to change the Check Date.
For the Manual Check type, the default comes from the period’s Check Date. This field is enabled for manual updating.
PR Manual Check Calculator
A Check Date column is found on the Timesheet Input tab of Payroll > Manual Check Calculator (MCC), as shown in Manual Check Calculator. This field is mandatory and disabled for manual changes.

When the Future MCC Period is entered, there is an associated Check Date that must be filled in. This is the default value for the Check Date of the MCC Check.
If you use Print Checks, the Check Date entered overrides the value on the check. The Check Date is updated, and this value is used when the check is converted to Manual.
Void Checks
A Void Check is entered using the Void Checks function on the Input menu. This function includes an Original Check Date field (see Void Checks Screen), which comes from the Original Check. If the field is blank on the Original Check, it is set from the Original Period and disabled.
A Void Check Date is also found on this function. It defaults from the Void Period and is enabled. This value is used to default the Check Date field for the Void Check.

Print Checks and MCC Print Checks
The following functionality applies to the check printing process:
The PR Frequency Print Checks process now changes the Check Date field into the Print Check Date.
The MCC Print Checks process now changes the Check Date field into the Print Check Date.
Load Timesheets and Transfer Timesheets
Load Timesheets and Transfer Timesheets functions create check records. For some of these functions, the Check Date can be set from the value of the Period where the Checks are transferred or loaded into. The functions that can do this are: Transfer Employee Self Service TS, Transfer FM Worksheets, Transfer SE Visit Details, and Transfer Daily Reports.
Convert Future and From Recurring Timesheets
The following processing applies to the Convert Timesheet functions:
Convert Future Timesheets – This function transfers future checks to the current open period. The checks of the future period can set the Check Date value on the Check records to the value on the Period record receiving the future checks.
Convert From Recurring Timesheets – This function can create regular or adjusting checks if the check with the appropriate Check Number is not found. The Check Date value on the Check records is set to the value on the Period record receiving the checks.
PR Body Detail Section
The Check Date field is found on the Body Detail section of the Net Detail tab for the following functions: PR Timesheets, PR Period Maintenance, and Manual Check Calculator. A sample screen is shown in Sample Body Detail Section.

Also, the Pay History Checks and Payslip Style View screens of the Pay History tab in PR Employee Maintenance use the Check Date from the PR Check instead of the Check Date of the PR Period.
PR Calculation
PR Calculation processing uses a Check Date field instead of the Payroll Period field to compare to the Tax Effective Date.

This section describes the Payroll reports using the Check date.
Company Reports
The following Company Reports allow for the Check Date to be used:
Employee Earnings Detail History – All sections display the Check Date next to the Period Date.
Payroll Check Register – Displays the Check Date from the PR Check rather than from the PR Period.
Quarterly PR Returns - Form 941 - Schedule B – Displays the Check Date from the PR Check rather than from the PR Period.
Company Timecard Report – The Header 4 Form section of the PR Company Timecard Report includes a Check Number and Bank Number. It also includes the Check Date.
Timecard Summary by Day Report - Includes the Check Date with the Check Number.
