17.01 Auto-Create a Subcontractor

This document demonstrates how to auto-create a subcontractor during the process of creating a company.

  1. Go to Central Repository > Companies (Figure 1).

  2. Click Add at the bottom of the screen (Figure 1).

  3. First, select the checkbox for Use Matches Search to identify any potential duplicate companies (Figure 2).

  4. Enter the Company Name and Main Office and select the Main Office Type (Figure 2).

  5. Enter the other additional company information below (Figure 2).

  6. Select Subcontractor under Company Types.

  7. Select the checkbox that appears that reads Create Subcontract Account (Figure 2).

  8. Any potential duplicate companies will be listed at the bottom of the screen if the Use Matches Search checkbox was selected in step #3 (Figure 3).

  9. Click Next in the bottom, right corner of the screen (Figure 3).

  10. Typically, Name and Legal Name are kept the same (Figure 4). Legal Name is used as the contractual name on orders and checks.

  11. The customer account number is generated from the Short Name (Figure 4).

  12. Review the Main, Types, and General tabs (Figure 4).

  13. Then, click Save in the bottom, right corner of the screen (Figure 4).

  14. Next, in the Main tab of Subcontractor creation, add any additional, appropriate information (Figure 5).

  15. Next, enter the appropriate information in the Payment Details tab (Figure 6). This tab allows entry of details relating to how the subcontractor is paid.

  16. Select the appropriate Default Certificate type for the subcontractor (Figure 6).

  17. Next, enter the appropriate information in the Payment Method tab (Figure 7):

    • Payment Method: what method of payment is used for this subcontractor (Check, EFT, or Direct Debit)

    • Payment Type: Whether payments to this subcontractor are separated by job, by certificate or not separated (Subcontractor, Job, or Separate).

  18. Next, enter any details of contacts at the subcontractor’s company in the Contacts tab (Figure 8).

    • This tab is optional and solely informational.

  19. Next, enter the appropriate information in the Unions, CITB, H&S tab (Figure 9).

    • This tab allows you to record information about trade union and training board membership, and health and safety representation.

    • This information is for your reference only and is not used in processing.

  20. Next, select the appropriate options for any analysis sets in the Analysis tab (Figure 10).

  21. The Warnings tab may be ignored during Subcontractor creation.

  22. Then, click Save in the bottom, right corner of the screen (Figure 10).
